Botsdex is operated by GTM Partners LLC (“Botsdex”, “we”, “us”, or “our”). This Privacy Policy explains how we collect, use, disclose, retain, and protect personal data when you visit Botsdex, create an account, browse listings, save robots, contact sellers, request quotes, buy or rent through the platform, list products, use seller tools, contact support, or otherwise interact with us.

1.Who is responsible for your data

The data controller is GTM Partners LLC, registered in New Mexico, USA, with registered office at 1209 Mountain Road Pl NE Ste N, Albuquerque, NM 87110. For all privacy-related inquiries, contact data@botsdex.com.

We have not formally appointed a Data Protection Officer. If applicable law requires us to designate a DPO or an EU/UK representative, we will do so and update this section with their contact details.

2.Personal data we collect

We collect personal data in the following categories:

  • Account data: name, email, password credentials or authentication provider details, account type, profile details, preferences, and login activity.
  • Buyer data: saved robots, searches, quote requests, purchase or rental interest, deployment region, budget, use case, company details, messages, and support requests.
  • Seller data: business contact details, seller profile, company identity, role, website, product listings, authorization information, regions served, support details, and verification information.
  • Listing and marketplace data: robot listing content, images, documents, specifications, certifications, pricing options, support regions, reviews, ratings, and messages.
  • Transaction data: order details, quote details, commercial model, invoices, payment status, billing details, shipping or deployment details, refunds, support case information, and tax-related information. We may use payment processors and may not store full payment card numbers ourselves.
  • Contact and support data: messages, attachments, emails, call notes, issue type, urgency, and communication history.
  • Technical data: IP address, device type, browser, operating system, language, location inferred from IP, referring pages, session activity, cookies, analytics events, and security logs.
  • Marketing data: communication preferences, campaign source, newsletter interactions, and event or partnership interests.

3.How we collect data

  • Directly from you when you create an account, submit a form, request a quote, contact a seller, contact support, list a robot, upload content, or complete a transaction.
  • Automatically when you use the website, through cookies, analytics tools, logs, and security technologies.
  • From sellers, buyers, partners, payment processors, logistics providers, verification providers, or support providers involved in marketplace activity.
  • From public sources or business databases where needed to verify seller identity, business legitimacy, authorization, or marketplace trust.

4.Why we use personal data

Operate Botsdex
Create accounts, show listings, save robots, enable search, compare robots, manage dashboards, and provide support.
Connect buyers and sellers
Route quote requests, seller messages, buyer inquiries, and deployment information.
Process transactions
Support purchases, rentals, invoices, payments, refunds, taxes, fraud checks, and order support.
Verify sellers and protect trust
Review seller identity, business details, product claims, listing quality, compliance signals, and marketplace abuse.
Improve the platform
Analyze usage, improve search, ranking, filters, listings, recommendations, and user experience.
Communicate with you
Send service messages, support replies, quote updates, seller application updates, policy notices, and optional marketing.
Comply with law
Meet tax, accounting, product safety, platform, legal, regulatory, sanctions, law enforcement, and data protection obligations.
Protect rights and safety
Detect fraud, spam, abuse, illegal listings, unsafe listings, security incidents, or misuse of Botsdex.

6.Cookies and analytics

Botsdex uses cookies and similar technologies for essential site functionality, authentication, security, analytics, preferences, performance, and marketing. Essential cookies are necessary for the platform to function and do not require consent. For non-essential cookies (analytics, marketing, personalization), we will request your explicit opt-in consent where required by applicable law, including for EU and UK users. You may withdraw consent or manage your cookie preferences at any time through your browser settings or our cookie preferences tool.

7.How we share personal data

We may share personal data with:

  • Sellers, buyers, integrators, distributors, or deployment partners when needed to respond to quote requests, messages, purchases, rentals, support, or deployment inquiries.
  • Service providers that help us with hosting, analytics, payments, authentication, email, support, CRM, storage, security, verification, document processing, and marketplace operations.
  • Payment processors, tax providers, logistics providers, insurance providers, or professional advisers where relevant.
  • Authorities, regulators, courts, law enforcement, or rights holders where required by law or necessary to protect rights, safety, users, sellers, or Botsdex.
  • Potential buyers, investors, or successors in connection with a merger, acquisition, financing, restructuring, or sale of assets, subject to appropriate safeguards.

We do not sell personal data in the ordinary sense of selling a user database for money. If applicable privacy law defines certain advertising or analytics sharing as a “sale” or “sharing”, we will provide required notices and choices.

8.Seller and buyer communications

When you request a quote, contact a seller, apply to list robots, or interact through Botsdex, we may share relevant contact, company, product, region, and use-case information with the relevant party so they can respond. We may also monitor or retain marketplace communications to prevent fraud, resolve disputes, improve support, and protect marketplace trust.

9.International transfers

Botsdex operates globally. Your personal data may be processed in countries other than your country of residence, including the United States. Where required, we use appropriate safeguards for international transfers, such as adequacy decisions, standard contractual clauses, data processing agreements, and security controls. By using Botsdex, you acknowledge that your data may be transferred to and processed in the United States and other countries where data protection laws may differ from those in your jurisdiction.

10.Retention

We keep personal data only as long as reasonably necessary for the purposes described in this Privacy Policy, including providing services, maintaining accounts, complying with legal obligations, resolving disputes, enforcing agreements, maintaining security, and keeping business records.

Account data
Retain while the account is active and for a reasonable period after closure unless deletion is required earlier or retention is legally required.
Quote, order, rental, and invoice data
Retain for tax, accounting, legal, dispute, warranty, and support periods.
Seller verification data
Retain while the seller relationship is active and for the legally required or risk-based period after termination.
Support messages
Retain for support quality, dispute resolution, and legal defense periods.
Analytics data
Retain in aggregated or pseudonymized form where possible.
Security logs
Retain for a limited period unless needed for investigation or legal reasons.

11.Your rights

Depending on your location, you may have rights to access, correct, delete, restrict, object to, or port your personal data. You may also have the right to withdraw consent, opt out of marketing, object to certain legitimate-interest processing, or lodge a complaint with a data protection authority.

To make a privacy request, contact data@botsdex.com. We will respond within 30 days of receipt. Where a request is complex or we receive multiple requests at once, we may extend this by a further 60 days and will notify you within the first 30 days. We may need to verify your identity before responding.

12.California residents (CCPA/CPRA)

If you are a California resident, the California Consumer Privacy Act (CCPA) and California Privacy Rights Act (CPRA) give you additional rights:

  • Right to know: what personal data we collect, use, disclose, and sell or share.
  • Right to delete: request deletion of personal data we hold about you, subject to certain exceptions.
  • Right to correct: request correction of inaccurate personal data.
  • Right to opt out of sale or sharing:we do not sell personal data. If we engage in data sharing that qualifies as a “sale” under California law, we will provide an opt-out mechanism.
  • Right to non-discrimination: we will not discriminate against you for exercising any of these rights.

To exercise your California rights, contact data@botsdex.com. We will respond within 45 days as required by California law.

13.Marketing choices

You can unsubscribe from marketing emails by using the unsubscribe link or contacting us. You may still receive service messages, account messages, legal notices, quote updates, order messages, safety notices, or support communications.

14.Security

We use reasonable technical and organizational measures designed to protect personal data, including access controls, encryption where appropriate, secure hosting, monitoring, backups, and vendor controls. No system is perfectly secure, and we cannot guarantee absolute security.

In the event of a personal data breach, we will notify the relevant supervisory authority within 72 hours where required by applicable law. Where a breach is likely to result in a high risk to your rights and freedoms, we will also notify you directly without undue delay, as required by law.

15.Children

Botsdex is not intended for children under 16, and we do not knowingly collect personal data from children. If you believe a child has provided personal data to Botsdex, contact data@botsdex.com.

16.Automated systems, ranking, and recommendations

Botsdex may use automated systems to power search, filters, ranking, recommendations, fraud detection, listing quality checks, and marketplace safety. These systems may consider factors such as relevance, category, location, availability, seller information, listing completeness, commercial model, user query, and marketplace trust signals. We do not use these systems to make legally significant decisions about individuals unless we provide required notices and safeguards.

17.Third-party links and sellers

Botsdex may link to seller websites, manufacturer websites, payment processors, logistics providers, or other third-party services. Their privacy practices are governed by their own policies, not this Privacy Policy.

18.Changes to this Privacy Policy

We may update this Privacy Policy from time to time. The updated version will be posted on Botsdex with a new “Last updated” date. If changes are material, we may provide additional notice.
